interventions and innovative behavior change communication approaches to raise

people’s awareness of and demand for health care services for Reproductive

Health, HIV, Malaria, and Maternal & Child Health.


Job Summary:  The Warehousing and Operations Manager will be

responsible for managing the inventory and movement of products in and out of

the UHMG Warehouses and Stores. The job holder shall have the have the capacity

to work under minimum supervision, maintain systematic records, provide

oversight stores management in the regional pharmacies, ensuring the timely

smooth operations of the stock movements at all stores locations.


Key Duties and Responsibilities: The Warehousing and Operations Manager will be specifically responsible

for the following tasks:-

  • Provides

    overall managerial responsibility over inventory; both commercial,

    consumables and third party commodities and movement of products in and

    out of the UHMG Warehouses/Stores both physically and electronically.

  • Ensures

    that regulatory requirements for drugs storage, warehouse maintenance, and

    human resources are provided for, and maintained in accordance with

    National Drug Authority (NDA); sets standards, ISO Quality Management

    Systems as per internal and other external policies.

  • Installs,

    and maintains security checks, controls and measures, oversights over

    stocks, records, documents and personnel within the warehouse custody.

  • In

    charge of designing and managing continuous review for the improvement the

    business operations model for the warehouse part of the value chain, and

    creatively achieves on high efficiency and customer satisfaction.

  • Plans,

    organizes and supervises all resources to ensure that work flow processes

    are well managed, coordinated and synergies built for high performance

    levels in all aspects of the warehouse and distribution operations.

  • Takes

    lead and accountability of all goods and assets and the deliverables of

    the warehouse, and ensures that correct measures are taken for the correct

    work standards, situation and procedures for effective security and safety

    of both goods and humans as well as the achievement of expected results.


2. Operations Management:

  • Provides

    stewardship and management of overall operations that manages the value

    chain and ensures achievement of minimum standard of services.

  • In

    charge of organizing and overseeing operation fleet, offering on-site and

    offsite supervision to the delivery team while liaising with the

    administration, sales and finance team.

  • Continuously

    evaluates operations model with reference to market demands, benchmarks

    with market leaders and suggests new operations strategies to ensure

    building competitive edge in the industry.

  • Evaluates

    UHMG market presence, distribution location and reach and suggest

    effective ways of meeting the demands of customers in various territory

    and sector.

  • Prepares

    and sends weekly warehouse and operations activity reports of all physical

    stocks including closing stock for each product, stock-in-hand that is

    invoiced but not delivered, expired stocks, damaged stocks (if any), and

    opening balance for each product for the following month.


3. Quality Management: Provides quality assurance to the stores and

warehouse-related activities in line with the ISO standards.


4. Strategic Leadership and

Human Resource Management:

  • Supervises,

    mentors and motivates staff in the department and builds their capacities

    in line with the organizational strategy and policies.

  • Actively

    promotes a results-based performance management evaluation system,

    ensuring that key targets are achieved in line with the organization

    objectives.


Qualifications, Skills and Experience: 

  • The

    candidate should hold a Bachelor’s Degree in Pharmacy, degree in Logistics

    and Supply-Chain Management, business management, Post Graduate Diploma or

    Masters in Business Administration or Management Sciences, Procurement and

    Stores;

  • Highly

    computer literate with hands-on experience in warehousing, stores,

    distribution and software packages to manage inventory and stock movement

    electronically is a must;

  • Be

    a Member of a professional body; CIPS, CIM, ICASA, PSU.

  • A minimum

    of five years’ experience in warehouse and supply-chain management, in a

    private sector or development organization;

  • Strong

    knowledge and understanding of stores, warehouse and distribution

    management;

  • Past

    exposure and experience in designing and running operations models;

  • Clean

    track records with references of previously managed operations and stores.

  • Be

    highly motivated, focused, disciplined personality, have the drive and

    dynamism to work under pressure with competing deadlines.

  • Possess

    excellent communication, interpersonal, analytical and result-oriented

    skills.

  • Significant

    experience in managing objectives with the customer in mind; tactful,

    ability to plan, organize and measure outcomes of interventions;

  • Exemplary

    honesty, with a high level of energy and integrity, and able to work under

    minimum supervision.
