Job Summary:  The Administrative Assistant will be responsible

for providing both clerical and administrative support to ensure the

smooth-running of the Office. The incumbent will be involved in the

coordination and implementation of office procedures and frequently have

responsibility for specific projects and tasks and, in some cases, oversee and

supervise the work of support staff. The work will also involve written and

oral communication, word processing, typing and book keeping and requires

relevant skills such as IT, organizational and presentation skills and the

ability to multi-task and work well under pressure.


Key Duties and Responsibilities:  


·        
The incumbent will be using a variety of software

packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to

produce correspondence and documents and to maintain presentations, records,

spreadsheets and databases;


·        
The incumbent will be devising and maintaining

office systems;


·        
In charge of booking rooms and conference

facilities;


·        
Using content management systems to maintain and

update websites and internal databases;


·        
Managing and maintaining budgets, as well as invoicing;


·        
Work closely with staff in other sister companies

and with external contacts;


·        
Responsible for managing and maintaining stationery

and equipment;


·        
Arranging travel and accommodation for staff or

customers and other external contacts;


·        
Work closely with colleagues and external contacts

to book travel and accommodation;


·        
Organizing and storing paperwork, documents and

computer-based information;


·        
In charge of photocopying and printing various

documents, sometimes on behalf of other colleagues;


·        
Responsible for sorting and distributing incoming

post and organizing and sending outgoing post;


·        
Responsible for recruiting, training and supervising

junior staff and delegating work as required;


·        
Analyzing and manipulating statistical data;


·        
Organizing in-house and external events.       


Key Performance Indicators:


·        
Up to date filing and referencing of all records.


·        
Reconciled petty cash ledgers.


·        
Complete entry of all ledgers maintained by AA.


·        
Management of office logistics and sundry.


·        
Efficient oversight of events and engaging service

providers


·        
Management of travel and hotel accommodation


Qualifications, Skills and Experience:  


·        
The Administrative Assistant should hold a graduate

degree


·        
At least one year of office administration experience


·        
Computer literacy i.e. proficiency in the use of Word

Processing and Spreadsheets.


·        
Ability to multi task and respond to a demanding

environment without supervision.


·        
Adaptability: Demonstrate a

willingness to be flexible, versatile and/or tolerant in a changing work

environment while maintaining effectiveness and efficiency.


·        
Behave Ethically: Understand

ethical behavior and business practices, and ensure that own behavior and the

behavior of others is consistent with these standards and aligns with the

values of the company.
