Uganda Cancer

Society (UCS) is a nationwide umbrella organisation dedicated to eliminating

cancer as a major health problem in Uganda by coordinating all organisations in

the fight against cancer. UCS is also focused on patient support programs and

resource mobilization for various cancer activities at national level.


Job Summary: The Finance and

Administration Assistant will work closely with the Program Director and

Communications Officer to ensure the effective financial management of the UCS.

The incumbent will support the Programs Director in managing, reconciling, and

updating all financial transactions for the Society. This is a tremendous

opportunity for a young FAA to learn and strengthen his or her financial

knowledge while also strengthening the organizational capacity of a rapidly

growing and innovative Society.


Key Duties and Responsibilities: 


·        
Update and maintain accounting records in accordance

with financial procedures; verifying society’s receipts before grants are

disbursed to the partner’s accounts.


·        
Maintain the cash safe to ensure funds are available

for all authorized transactions at the office.


·        
Carry out weekly cash counts and petty cash

reconciliation.


·        
The incumbent will manage payments and administer

petty cash and reimbursements of staff expenses


·        
Ensure that cheque books and invoices are well

accounted for and are kept in a safe and secure custody.


·        
Prepare and submit monthly financial reports for the

Project Director, UCS Board on income, expenditure, and any variations from

budgets.


·        
Prepare monthly cost share reports for the project

activities undertaken by the UCS.


·        
Work in liaison with Program Director to provide

assistance during the Society internal and external audits.


·        
Ensure proper maintenance and care of assets; grant

disbursal and updating of UCS files according to the disbursed amount.


·        
Schedule, manage and monitor all bills for the UCS

Office.


·        
Generate list of suppliers, order, prepare

contracts, and procure items from local suppliers or elsewhere as appropriate


·        
Receive inventory and issue supplies and equipment,

manage and maintain equipment; and monitor, track and report on movement of

goods and office equipment


·        
Keep clear and well-documented files and

well-organized archives on operations ledgers


·        
Provide timely, accurate stock and inventory reports,

including equipment tracking reports for management information and donor

reporting purposes


·        
The incumbent will ensure that UCS assets are

received, coded and registered in the assets register and ensure disposal of

UCS assets is carried out according to existing policies and specific donor

rules


Qualifications, Skills and

Experience: 


·        
The applicant should hold a good University degree

in Finance and accounting preferably, BCOM/BA in accounting, finance or related

field. CPA (U)


·        
At least three to five years’ experience in accounting

and finance management. Two years of work experience in an NGO and grants

management is desired


·        
Excellent organizational and administrative skills

including minute taking, data management and devising and implementing reporting

systems


·        
Significant experience in developing and using

financial databases, including book keeping and record keeping


·        
Excellent computer literacy skills, including skills

in Word, Excel, PowerPoint and Access databases.


·        
Working knowledge of accountancy packages


·        
Excellent analytical skills


·        
Good written and verbal communication skills and

ability to respond tactfully and appropriately to enquiries from a range of

individuals and/or groups


·        
Working knowledge of Excel, this will be judged by a

test


·        
Skills and knowledge of accounting, grants

management and financial management


·        
Attention to detail, good at closing out projects,

stays motivated through lots of tracking/admin/follow up work


·        
Skills and knowledge of budget preparation and

management


·        
Keen interest in learning new knowledge and skills

and sharing with others
