Key Duties and Responsibilities:  

  • The Finance and Administrative Executive will

    support the supervisor in preparing the annual budget of the firm by

    deadline day;

  • In charge of the preparation and submission

    of monthly accounting reports as listed in the firm’s month end and

    reporting processes.  Ensuring that

    reporting deadlines are met and complied with.

  • Maintenance of registration files of the firm

    and ensuring that all annual registration requirements required of the

    partners and firm are complied with in good time. E.g. with KCCA, ICPAU,

    BOU, IRA, Auditor General Etc.

  • Prepare and submit expense reports – e.g.

    telephone reports, claims summaries, advance claims prior to payroll date

    of 25th of each month.  Stationery

    reports, etc by billing date of 1st of every month;

  • Keenly review and process advance and claim

    forms timely.  Ensure that out of

    pocket policy is complied with by staff;

  • Prepare IT reports usage.  Provide a monthly report on IT matters

    and ensure staff IT problems are resolved quickly;

  • Review/supervise receptionist/administrative

    assistant on petty cash matters;

  • Handle all procurement of the firm except for

    minor suppliers. Handling major service providers: One Solutions, UTL,

    PDM, insurance

  • Ensure that clients are billed every 1st of

    the month and ensure timely follow up collecting on invoices sent to

    clients;

  • Ensure compliance with all tax filing

    deadlines and submissions;

  • Keenly track all WHT tax deductions suffered

    by the firm and maintain an accurate record for these for inclusion and

    posting in the financial records of the company;

  • Admin checklist compliance.  Report to be given to partner/director

    on a monthly basis;

  • In charge of the maintenance of staff annual

    leave management worksheet;

  • Maintenance of property and equipment

    register which is submitted to partner/director on a quarterly basis for

    review;

  • Support the secretary/receptionist with

    binding reports for submission to clients as well as format processing

    when called upon to do so.


Qualifications, Skills and Experience:  

  • The applicant should hold a Bachelor’s degree

    in a finance field;

  • Professional accounting qualification i.e. ACCA/CPA

    level II (minimum);

  • At least two to three years’ experience

    working in a busy finance department; and

  • Computer literacy skills i.e. practical experience

    using Tally and QuickBooks.

  • The applicant must be organized and detailed

    oriented;

  • Must have an analytical and questioning mind;

  • Excellent communication skills both verbal

    and written;

  • Good working knowledge of the URA portal with

    particular emphasis on tax filings including VAT, income tax, WHT, PAYE;

  • Good working knowledge of the filing requirements

    of the Uganda Registration Services Bureau

  • Excellent presentation skills;

  • Good team player and understands that their

    role is there to support RSM staff in achieving a collective objective.

  • The applicant must be a self-starter and

    works with little supervision
