The Vision Group incorporated as the New

Vision Printing & Publishing Company Limited (NVPPCL), started business in

March 1986. It is a multimedia business housing newspaper, magazines, internet

publishing, television, radio broadcasting, commercial printing, advertising

and distribution services. NVPPCL is listed on the Uganda Stock Exchange, with

an expected turnover of over UGX 60 billion (FY 2010/2011).


Job

Summary:
 The Administrative Supervisor will coordinate

and manage all administration services through the provision of a safe and

clean working environment, effective support services and handle fleet

management and insurance related matters.


Key

Duties and Responsibilities: 


·        
Carry

out secretarial duties for the department which will included but not limited

to filing, drafting outgoing memos, compiling monthly reports, organizing departmental

meetings, taking minutes and raising payment vouchers for service providers.


·        
Mentor

and supervise the Estates Coordinator, Estate Contractors and ensure that they

maintain a clean, safe and secure environment.


·        
Keep

an updated log of contracts, insurance incidents and fire and safety

systems/equipment.


·        
Regularly

track all office expenditures by recording all expenses in order to monitor

budget overruns and unusual expenses.


·        
Maintain

all properties to a high standard while coordinating basic repairs for

furniture and maintenance works where required.


·        
Coordinate

administrative operations in our regional offices.


·        
Manage

Insurance matters working with the brokers – expedite premium payments and

follow-up on all documentation.


·        
Oversee

the transport operations ensuring execution of the Transport Management

Systems, Policies and Procedures.


·        
In

charge of monitoring of utility bills to ensure they are paid on time.


·        
Conduct

periodic quality assessment on transport related matters to obtain feedback.


Qualifications,

Skills and Experience: 


·        
The

ideal candidate should preferably hold a Bachelor’s degree in Business

Administration, Social Sciences, Social Work & Social Administration and

Psychology from a recognized University.


·        
At

least two years of experience as an Administrator.


·        
Working

knowledge of Administrative, clerical procedures and systems, managing files

and records, transcription and designing forms.


·        
Computer

literacy skills i.e. proficiency in the use of Microsoft office.


·        
Excellent

oral and written communication skills.


·        
Excellent

organizational and planning skills.


·        
Excellent

supervisory skills.


·        
Ability

to work well with people at all levels.


·        
Ability

to prepare reports.


·        
Ability

to work under pressure with minimum supervision.


·        
Ability

to apply creative thinking to practical problem solving with an aim of

improving service delivery.


·        
Professional

and Informative with the ability to provide outstanding customer service.
