ADMINISTRATION & PROCUREMENT MANAGERThe Administration & Procurement Manager reports directly to the Executive Director and will be based at Head Office in Kampala. Among others, s/he will be required to manage the procurement and administration function and ensure adherence to PPDA & Pride’s policies and procedure.Specific responsibilities include:-• Manage all administrative issues arising in the entire Pride network;• Ensure that all premises have properly executed tenancy agreements and foster good relationships with Pride landlords.• Management of all fixed assets in Pride. Liaise with other departments to ensure that the corporate assets registers are maintained and up-to date.• Ensure the engraving of furniture and equipment throughout Pride.• Ensure the registry is functional.• Develop appropriate systems, procedures and guidelines for the Procurement & Disposal Unit and Contracts Committee.• Prepare the annual procurement master plan and participate in the annual budgeting process for all services and items.• Guide the suppliers on procurement procedures for the Company including; sourcing out for suppliers, coordinating and facilitating the bidding process and drafting contracts and terms of reference for suppliers.• Liaise with Finance department to ensure availability of procurement funds and timely payment of suppliers.• Review usage and expenditure on all items with a view of identifying areas of cost reductions and/or service improvement;• Ensure there are adequate stocks in stores;• Compile procurement reports to Contracts Committee and PPDA and support Internal Audit in verification of procurement documentation• Preparation of Board papers for the Board Committee in charge of procurement. Preparation of board justification/special board requests for new projects or emergency needs.• Manage pre-bid meetings, bid closing and bid opening and prepare monthly reports for submission to PPDA.• Any other duties as may be assigned by Management.Academic Qualifications and Experience:• Bachelor’s degree in Procurement and Supply Chain Management; Social Sciences, Commerce, Development Economics, Development Studies, Business Studies, Accounting and Finance, Marketing, Financial Services and Business Computing, Business Statistics, Social Sciences, SWASA, Education, Microfinance any other relevant and/or related field.• Master’s degree in Business Administration or any Management related field is an added advantage• S/he should possess prior experience of 4 years and above.• Should have strong negotiation and analytical skills.• Should have a high degree of integrity, excellent interpersonal, communication and presentation skills.• Must be able to meet set deadlines.• He/she should be aged between 25 - 38 yearsThe Legal Officer will report to the Senior Legal Officer and will be required to provide legal services to Pride Microfinance Ltd (MDI)’s Management and staff in accordance with the company’s policies, procedures and the law.Specific responsibilities include:-• Providing prompt and accurate legal advice to the staff and Management of Pride on issues concerning the organization’s operations in line with the Law and company policies.• Drafting agreements which are to be executed by Pride and ensuring that the company’s interests are protected.• Reviewing contracts drafted by Pride’s external service providers and advising on the effect of the terms therein on Pride.• Conducting research and preparing comprehensive Legal opinions.• Preparing loan and mortgage documentation & registering Pride’s interests on the documents of title of securities pledged by clients in the respective registries.• Verifying securities presented by clients• Designing recovery procedures for bad loans and participating in debt recovery.• Drafting court documentation• Representing the company in courts of Law and preparing litigation status reports.• Liaise with external lawyers on non routine matters.• Any other duties as may be assigned from time to time.Academic Qualifications and Experience:• Honours degree in Law from a recognized University• Post graduate diploma in Legal Practice from the Law Development Centre• Enrolled Advocate for at least 3 (three ) years• Valid practicing certificate• He/She should possess prior experience of at least 2 years in a reputable organization preferably a financial institution or a busy Law firm.• Should be dynamic, self-motivated, results oriented and analytical.• Excellent communication, negotiation, mediation, problem solving and interpersonal skills.• S/he should not be above 29 years of age.The Database Administrator will report to the ICT Manager Systems of Pride. S/He will participate in all activities of the ICT Department in regard to maintaining Pride’s Information Systems databases among othersResponsibilities will include:-• Design, implement and enforce comprehensive maintenance procedures for Pride’s computer database systems.• Provide training, write documentation and user manuals, including data standards, procedures and definitions for the data dictionary (‘metadata’).• Monitor system logs and activity of all users within the system and provide solutions to database problems faced by the users.• Write, develop or modify business systems/databases ensuring data, queries and reports can be captured, managed and maintained easily and accurately.• Administer, test and implement new or modified systems/ databases.• Document and monitor operational, security and maintenance procedures and contribute to reviews as appropriate in order that continuity of service provision is maintained.• Monitor the performance of the database server system and develop and implement improvements to systems architecture and procedure to improve efficiencies.• Ensure data is clearly defined and remains consistent across the systems and databases.• Keep up to date with technical and industry sector developments and develop/co-ordinate the application of data definition standards and data models to achieve consistent and integrated recording of information throughout the company.• Ensure data security, storage, archiving, backup recovery procedures are functioning correctly.• Ensure system/database design and metadata conform to agreed standards, including meeting Data Protection, Computer.• Assist in developing facilities, support and advice to enable the exchange of data to and from server based business systems/ databases.• Analyze and resolve problems relating to the availability and security of the server based databases as reported by users ensuring that normal service is restored to staff as soon as possible after a failure.• Run End-Of-Day (EOD), End-Of-Month (EOM) and End-Of-Year (EOY) systems processing.• Any other duties as reasonably instructed by the immediate supervisor.Academic Qualifications and Experience:• Should possess the following qualifications:-• A Bachelor’s Degree in Computer Science or in any other relevant/ related field.• MCDBA, Microsoft SQL Server Certification, SQL, DBA and Knowledge of any other DBMS like Oracle, MySQL etc.• Good Grades in Mathematics at A ‘Level (Either A, B or C).• Atleast 2 years working experience as a DBA in a busy organization.• The ideal candidate should be highly motivated, self driven and eager to learn.
