Office Administrator ( FULL TIME )

Marie Slopes Uganda (MSU) is a marketing-focused, results-oriented social business that uses modern management and marketing techniques to provide family planning and reproductive healthcare across every district of Uganda. We aim to contribute 15 points to Uganda’s contraceptive prevalence rate by 2015, saving and improving many thousands of Ugandan lives. Marie Stopes Uganda seeks to fill the following vacant positions and applications are invited from suitably qualified and experienced candidates;
2. Job title: Office Administrator
Overall Role:
Working with the Senior Manager, People and Development, this role is responsible for planning and co-ordinating general supportive services of the organisation, including record keeping, equipment maintenance, travel arrangements and other support services.
Key Responsibilities:
• Ensure proper maintenance of all office equipments, assets and inventory
• Ensure that the office is fully operational in terms of water, electricity, stationary, kitchen ware etc
• Verifies utility bills for the support office, official residents and arranges for prompt payment thereof i.e telephone, water, electricity …etc
• Responsible for the efficiency of the reception area and telephone/ switchboard management
• Responsible for the cleanliness and security of the office premises
• Ensure that new staff are availed with working space and the necessary tools are in place prior to start of duty
• Organize for MSU visitors; including making visitor’s schedules, booking accommodation, airport pickups and drop offs, arranging inland transport and meals.
• Arrange immigration requirements for national and international staff
• Ensure that arrangements for meetings, workshops and conferences are well coordinated
• Make international travel arrangements for staff including arranging for travel tickets, accommodation, per diems, conference registrations etc
• -Examine grievance raised by staff in respect to welfare facilities i.e rest rooms, washing and toilet facilities, drinking water, Kitchen…. Etc and refer complicated issues accordingly
• Indirectly oversees all administrative issues at the regional offices, centers and provides the necessary feedback
• Work with HR team to coordinate staff welfare functions

Requirement:

Experience and Education:
• A bachelor’s degree in humanities or any other related field
• 3 years experience in office administration and management in a busy environment . Experience with HR is an added advantage

Knowledge, Skills and Abilities:
• Working knowledge of office management principles
• Basic knowledge of HR principles
• Excellent coordination and organizational skills
• Ability to communicate effectively and maintain favourable public relations
• Ability to maintain confidentiality and good ethical conduct
• Ability to work with little or no supervision
