Organization: mothers2mothers (m2m)Reports to: Country Finance Managermothers2mothers (m2m) is an international non-governmental organization based in Cape Town, SA, dedicated to providing education and support to pregnant women and mothers living with HIV, and preventing mother-to-child transmission. Since its inception, m2m has reached more than one million mothers in seven countries. Founded in Cape Town in 2001, m2m is a partner in the United Nations' Global Plan towards the Elimination of New HIV Infections among Children by 2015 and Keeping their Mothers Alive. Job Summary: The Country Finance Assistant will provide administration and finance support services to the Country Management team based at the mothers2mothers Uganda country office.Key Duties and Responsibilities:  1. Purchasing (Country Specific): Offer clerical support in entering all invoices onto the Accounting system and allocate them against purchase ordersHandle all supplier queries regarding paymentsOffer clerical support in maintaining and update supplier information and do relevant background checks and terrorist/ debarment checksReport all invoices received without a purchase order or relevant supporting documentation on a monthly basisOversee the Purchase Requisition databaseProvide support to the Country Finance Manager in processing and following up on all staff accounts.Receive all requests and check for accuracy and compliance with organizational policies and procedures.Responsible for managing the Travel database and ensure all trips are approved before processing advances.3. Revenue/Income, Debtors and cash book management:Provide clerical support to the Country Finance Manager in managing the cash book and prepare bank reconciliations for review by the Country Finance ManagerPrepare payment vouchers both from petty cash and bank and ensure the right float is kept at all times, and prepare weekly cash reports and counts.Take active participation in the budgeting and re budgeting processes for country operational budgets and proposal budgets.Provide clerical support to the Country Finance Manager in maintaining the fixed asset registerConduct periodical stocktaking.Work closely with the Administrative Assistant to ensure assets are labelled as per specific donor regulations.Receives, logs and checks all source documentation that are submitted to the finance unit for processingManage the filing system of all financial documentationOffer technical support in managing the Share-point document structure of the finance unitTechnically support the retrieval of financial data during auditsOversee the archiving of all financial data Qualifications, Skills and Experience:  The applicant must hold an accounting or related diploma/degreeA minimum of three to five years’ working experienceHighly focused and versatile team player that is comfortable under pressure.Excellent interpersonal skills; ability to work on own and within various teams;Excellent analytical and problem solving skillsComputer literacy skills including the ability to operate computerized accounting (Serenic), spreadsheet and word processing programs at a highly proficient levelPast experience in a multi-national organizationWorking knowledge of institutional donor requirements; EC, DfID, UN partner agreements, SIDA, USAID, CDC, etcPossess excellent interpersonal skills; ability to work on own and within various teams;Ability to manage competing tasks; ability to prioritize and produce high level outputAll those excited about serving in this prestigious NGO should send their Curriculum Vitae (CV) with a cover letter to mothers2mothers via e-mail to: ugandarecruit@m2m.orgNB: mothers2mothers follows a careful review process for all applications.
