Job Title: Accounts and Administrative Assistant
Position Summary:
The Accounts and Administrative Assistant will carry out bookkeeping duties and provide administrative support to the Land O'Lakes projects in Uganda in the following areas.
Job Responsibilities:
? Assemble and organize receipts' and get them ready for inputting into the cost point system
? Reviewing supplier invoices for accuracy, relevance and ensuring expenses are bona fide to the project
? Preparing payment vouchers for approval of expenditure
? Processing checks to vendors
? Processing travel advances
? Reviewing advance liquidation reports for arithmetic accuracy, proper project codes, proper expense codes, proper per diem/
? Reviewing photocopied documents after month end close to ensure all documents have been properly photocopied
? Filing and archiving
? Sorting out supplier issues - Statement reconciliations, discrepancies on invoices etc
? Liaising with the bank on negotiated exchange rates and periodic transfers from USD to Ushs Account
? Liaising with the Project Manager and other technical staff to compile monthly funding requests and forwarding to Regional accounting 8 Regional Director for approval
? Reviewing vehicle mileage logs and ensuring proper operation of the logs maintaining a proper filing system for all the logs.
? Maintaining an updated inventory record of all assets.
? Coordinate time collection process for all staff.
? Receiving and responding to phone, fax and mails
? Carry out other duties as may be required.
Required Qualifications;
? Minimum of "A" high school certificate with a minimum training in accounting up to CPA or ACCA Part 11
? Knowledge of computers and Excel for Windows highly desired,
? Able to communicate effectively.
?? Flexible, pro-active and is able to plan and organize work effectively
? Ability to work well with diverse groups of people
Preferred Experience:
? Experience of not less than three years
? Experience in working with managing documents for U.S, Government grants, agreements, and/or contracts are a plus.
