POST: SENIOR PERSONAL SECRETARY
REF: HRM/EOC/2010/09 Salary : Uganda Government Scale:
Reports to: Under Secretary-Finance and Administration

Minimum Qualifications
Either
(I) An Honours Bachelors Degree in Secretarial and Administrative Studies or its equivalent from a recognized Institution
or
(ii) Ordinary Level Certificate with at least two (2) credits including English Language and three (3) passes, and a UNEB Certificate or Diploma in Secretarial Studies or equivalent qualifications from a recognized institution with the following subjects:
a. Business Communication Stage 111
b. Typewriting Stage 111 (50 wpm)
c. Shorthand Stage II (80/90 wpm)
d. Office Management
(iii) A minimum of three (3) years working experience at the level of Personal Secretary in Government or equivalent experience in a reputable organization.
(iv) The following Competencies are required:
a. Office management
b. Computer Literacy
d. Communicating effectively
e. Ethics and integrity
f. Interpersonal skills

Duties and Responsibilities

(i) Drawing up programmes, fixing and monitoring appointments and organizing meetings, in conjunction with relevant offices, (ii) Taking dictation, transcribing and presenting accurate and error free work, (iii) Drafting letters of a routine nature, (iv) Attending to callers, either in person or on telephone.
(v) Ensuring timely responses to inquiries and correspondences to and from the office. (vi) Receiving in coming mail and supervising the dispatch of outgoing mail. (vii)Ensuring that relevant document for meetings and speeches are produced on time and property organized.
(viii) Ensuring cleanliness and orderliness of the office, (ix) Managing records in accordance with established security and records management procedures, (x) Requisitioning and managing office stationery and equipment.
(xi) Managing the performance of subordinate staff. (xii) Any other duties as may be assigned from time to time.
