Organisation: The Baylor College of Medicine Children’s Foundation – Uganda (Baylor-Uganda)Duty Station: Head Office, Kampala, UgandaThe Baylor College of Medicine Children’s Foundation – Uganda (Baylor-Uganda) headquartered at Mulago hospital, is a comprehensive HIV/AIDS care and treatment organization that supports the treatment and care of HIV infected and affected Children and Adults. Baylor – Uganda has four operational areas; HIV/AIDS care, treatment and prevention services, maternal child health services, Health Professional training and Clinical Research. Baylor-Uganda is in receipt of UNICEF and PEPFAR grant through CDC.Job Summary: The Regional HR Officer will monitor the implementation of Baylor Human Resource systems and practice's in the various regions in line with the existing Baylor Uganda HR policies and procedures. Key Duties and Responsibilities:  Review, develop and monitor the implementation of the Human Resource Records management policies and procedures in line with the Baylor Uganda HR manualDesign, maintain and update hardcopy and electronic databases of personnel information system in line with the Baylor Uganda HR manualConduct routine records management operations such as: Record retrieval, Records transfer, storage & disposal, Vital record protection, Inventory, Data entry of active and inactive Human Resource hardcopy and electronic records in line with the Baylor-Uganda HR manualCreate new files and maintain accurate complete records for the related hardcopy and electronic information in line with Baylor- Uganda Records management guidelinesPeriodically enter and validate assigned data in the respective data base in line with Baylor Uganda HR data management systemsOffer HR support services in terms of filing, sorting and logging hardcopy and electronic applications of candidates in line with the Baylor-Uganda selection and recruitment guidelinesReceive and deliver official mails, messages, memos, and documents to respective destinations and ensure they are signed for or acknowledged by the recipient in line with the Baylor Uganda HR manual.Photocopy, scan hardcopy and electronic staff documents as guided by HR manager in line with the Baylor Uganda HR manualPrepare monthly and quarterly reports in regard to the human resource information management systems in line with the Baylor Uganda HR manualQualifications, Skills and Experience:The Records Officer must possess a bachelor’s degree in library science and Records management and any other relevant degree. A minimum of one to two years’ experience in Records Management, skills in managing electronic records with a reputable international NGO Possess the ability to demonstrate high initiative and analytical skills Good working knowledge of common Statistical analysis and database management packages, and software packages; Microsoft Suite i.e. Access, Excel and WordHigh team ethic Possess excellent communication skillsExcellent problem solving skillsGood networking skillsKeen eye for detail.
