Organization: Public Procurement and Disposal of Public Assets Authority (PPDA)Reports to: Senior Administration OfficerThe Public Procurement and Disposal of Public Assets Authority (PPDA) is established under the PPDA Act No.1 of 2003 to formulate policies and regulate procurement and disposal practices in respect of all procuring and disposing entities which include Central Government Ministries and Departments, Local Governments, State Enterprises, Constitutional and Statutory Bodies and post primary training institutions.Job Summary: The Receptionist will offer reception services and administrative support to the PPDA.Key Duties and Responsibilities: Receive and direct visitors of the Authority to the appropriate officesReceive, direct and relay telephone messages.Quickly respond to visitors’ inquiries and refer to them to other officers for further help.Answer all incoming calls including re-directing calls and handle callers’ inquiries.Accept, receive and record all the incoming and outgoing documents and correspondences and ensuring timely follow up on the same.Operate the PABX.Locate and attach files to correspondences requiring attention.Open and date stamp all general correspondence.Offer secretarial support.Perform any other duties that may be assigned to you by the Senior Administration OfficerQualifications, Skills and Experience: The Receptionist should hold a Diploma in any of the following: hospitality management, secretarial studies or management related field with A-Level certificate and a credit in both Maths and English at O-Level.Possession of a Good degree in any of the above fields is an added advantage.At least three (3) years relevant working experience. Computer literacy skills i.e. Knowledge of computers and relevant software applications.Working knowledge of administrative and clerical procedures. Information management skills. Good communication skills. Good interpersonal relations. Pleasant personality. Customer service orientation.
