Organisation: Uganda Human Rights Commission (UHRC)Reports to: Chairperson to the CommissionThe Uganda Human Rights Commission was established under Article 51 (1) the 1995 Constitution of the Republic of Uganda. The Constitution of the Republic of Uganda Articles 52, 53 and Uganda Human Rights Commissions’ Act of 1997 provide the legal mandate, functions and the powers of the Commission.Job Summary: The Senior Assistant Administrator will offer secretarial, administrative and Office managerial servicesKey Duties and Responsibilities:  Responsible for receiving and guiding clients to relevant offices;Cordially attending to telephone calls and directing them to relevant Offices;Making and following up on appointments;Maintaining office cleanliness and orderliness;Overseeing and accounting for office equipment, materials and imprest; andMentoring, supervising and appraising performance of Assistant Administrators and other support staff in the Chairpersons Office.Taking and transcribing dictation and producing error free work;In charge of receiving and disseminating correspondences, mails and other information for the office,Attending to callers, either in person or on telephone.Ensuring there are timely responses to inquiries and correspondences to and from the office.Receiving all incoming mail and supervising the dispatch of outgoing mail.Drafting letters of routine nature.Providing Office Managerial Services which include;Ensuring cleanliness and orderliness of the office.Managing records in accordance with established security and records management proceduresRequisitioning and managing office stationery and equipmentManaging the office filing system including opening, indexing, storage, retrieving, moving and     recording of files.Maintaining  files in proper order and classification and in accordance with secrecy and office procedures.Arranging for meetings and taking minutes.Performing any other duties and responsibilities assigned from time to time by a responsible Officer.Qualifications, Skills and Experience:  The applicant must hold an Honors Bachelor’s degree in Secretarial Studies from a recognized university, or a Diploma or its equivalent in Secretarial Studies.At least six (6) years experience in Secretarial work, or similar experience from a recognized institution.Knowledge of the Principles of Accounts Stage II, Economics II or Commerce II is an advantage Computer literacy skills using several packages like Spread Sheets, Database managementWorking knowledge of using various office machines like fax, photocopiers and audio equipment is desired Having worked in a high level government office is an advantage Skills in Information and Communications Technology;Good planning, organizing and coordinating skills Skills in records and Information Management;Skills in Public Relations and Customer Care;Excellent Communication skills High degree of Confidentiality; and excellent time management skillsAll candidates should send two copies of their applications with attached passport photographs, together with detailed CV, including two (2) professional referees with reliable telephone/ e-mail addresses, photocopies of academic and professional certificates.
