The National Social Security

Job Summary: The Board Administrator will support the Corporation
Secretary by providing secretarial and administration services to the Board of
Directors and ExCo.
Key Duties and
Responsibilities:
- Prepare
all communications (correspondence, agenda and notices) for Board,
Committees and ExCo meetings. - Routinely
attend Board, Committee and ExCo meetings and draft minutes memos and
other correspondence to communicate Board decisions for the Chairman,
Committee Chairperson, Managing Director or Corporation Secretary - Assemble
information from a variety of sources to facilitate the preparation of
Board memoranda. - Keep
custody of all Board and ExCo papers, documents and minutes. - Prepare
a schedule of Board, Committees and ExCo meetings and maintain a diary of
meetings. Make changes to schedules where necessary. - Prepare
attendance registers and maintain them. Use register to prepare allowance requisition
and reimbursement for payments to Board members for review and approval by
Managing Director - Prepare
schedules of information Board or Sub Committees have requested from
management. Prepare schedules of information management wants to submit to
Board or Sub Committees. - Maintain
a record of Board and Committee Activities. - Arrange
for the training and development of Directors - Make
travel arrangements, bookings and prepare itineraries and obtain travel
documents for Board members - Actively
facilitate efficient and effective running of the Board and Committee
meetings. - Manage
and supervise the Board Administrative Officer/Personal Assistant to the
Corporation Secretary and review all his / her work. - Carry
out appraisal of the Board Administrative Officer / Personal Assistant to
the Corporation Secretary. - Actively
participate in the preparation of the Board Affairs Section budget for
review by the Corporation Secretary. - Prepare
the procurement plan for the section for review by the Corporation
Secretary.
Qualifications, Skills and
Experience:
- The
applicant should be a Chartered Secretary qualification (ICSA) or Degree
in Secretarial Studies or Degree in Business related field. - A
minimum of five years’ experience in administration or secretarial work in
a Government, parastatal or large commercial organisation. - Excellent
oral and Written communication skills - Computer
Skills (Presentation, Excel, PowerPoint and Word Processing) - Excellent
interpersonal skills - Analytical
– ability to comprehend board papers. - Organisational
skills - High
degree of Discretion - Initiative

and diplomacy - Stress
management skills
