The United Nations Department

of Field Support, Information and Communications Technology Division (UN

DFS-ICTD) is responsible for the delivery of applications that satisfy the

requirements of the Departments of Peacekeeping Operations and Field Support

(DPKO/DFS) missions as well as Special Political Missions (SPMs). The United

Nations Support Office for AMISOM (UNSOA) is a field support operation led by

the United Nations Department of Field Support (DFS) under UN security Council

Resolution 1863 (2009) mandated to deliver a logistics capacity support package

to AMISOM (African Union Mission in Somalia), as well as to provide operational

support to other East African missions. The logistics package consists of

equipment and mission support services, including ICT infrastructure, systems

and software applications in support of United Nations peacekeeping operations,

DFS and DPI in the region. UNSOA is headquartered in Nairobi, Kenya with

logistics operations facilitated through Mombasa, Kenya and Mogadishu, Somalia.

In addition, as a member of the East African Missions and Region 2, UNSOA is a

beneficiary of centralized ICT services provided by the Regional ICT Services

(RICTS) office of the Regional Service Centre Entebbe (RSCE). These services

include ICT Technical & Signals Training, Applications Implementation,

Autonomous ICT Communications, ICT Security & Compliance, and Physical ICT

Security and Surveillance. As per GA A/67/723, there is no separate funding

assessment made for the RSCE. Each mission contributes a portion of its budget

and personnel to enable the services of the RSCE. UNOPS has been requested to

assist in the implementation of this activity.


Key Duties and Responsibilities:
Under the supervision of the Data

Management Lead, the incumbent will be responsible for:

  • Offer

    administrative support and training support to on-going regional

    enterprise systems implementations

  • Render

    support in the development and production of all training materials for

    implementations

  • In

    charge of scheduling of all weekly meetings and implementation kick-off

    meetings

  • Maintaining

    the document repository of all implementation related documentation

  • Compiling,

    summarizing and presenting basic information/data on specific projects and

    related issues;

  • Assisting

    with the submission and review of project documents, cost plans, budgets,

    verification of availability of funds, ensuring necessary approval and entry

    in computerized systems;

  • Working

    closely with project and implementation management groups/teams in other

    locations as required.

  • In

    charge of assisting with monitoring status of project proposals and

    receipt of the relevant documentation for review and approval;

  • Assisting

    with preparing status reports, performance reporting, and tracking project

    staffing requirements and expenditures;

  • Offer

    general office assistance, set up and maintain files/records, organize

    meetings, physical space planning, identification of office technology

    needs, maintenance of equipment inventory, 

    etc.;

  • Perform

    other related administrative duties, as required, e.g., operational

    training and travel administrative assistance, attendance and leave

    recording, recording of expenditures and 

    facilitation of financial recovery;

  • Perform

    any other related duties as required.


Qualifications, Skills and

Experience: 

  • The

    ideal candidate for the United Nations UNOPS Implementation Team Assistant

    Vacancies should have completed High School or hold an equivalent diploma

  • At

    least six years of progressively responsible administrative experience in

    an international/multi-cultural organization in the field of ICT or other

    related fields.

  • Prior

    experience with computer productivity applications (Microsoft Office) and

    project management is highly desirable.

  • Working

    knowledge of the Department of Field Support, UN systems and applications

    and Staff Regulations and Financial Rules is highly desirable. Proficient

    knowledge of MS Office required.

  • Language Requirements: Fluency in English is required.

    Knowledge of a second UN language is highly desirable.

  • Professionalism: Good knowledge of subject matter.

    Hands-on computer based applications training or experience. Excellent

    interpersonal skills and ability to establish and maintain effective

    working relations in a multi-cultural, multi-ethnic environment with

    sensitivity and respect for diversity. Ability to perform with minimal

    supervision, and work under pressure of frequent and tight deadlines often

    in difficult and demanding conditions. 

    Demonstrated ability to work towards the achievement of defined

    deliverables.

  • Communications: Excellent communication (spoken and

    written) skills, including the ability to convey complex technical

    concepts both orally and in writing, in a clear, concise manner. Ability

    to prepare reports, formulate positions on issues, articulate options

    concisely conveying maximum necessary information, and make and defend

    recommendations. 

  • Planning & Organizing: Ability to organize, plan and

    implement work assignments, manage competing demands and work under

    pressure of frequent and tight deadlines.

  • Teamwork: Strong interpersonal skills and

    ability to establish and maintain effective partnerships and working relations

    with people in a multicultural, multi-ethnic environment with sensitivity

    and respect for diversity.
