Main Duties and Responsibilities:
Reporting:
· Support programme staff in the development and timely submission of high quality donor reports, using appropriate templates and guidelines.
· Draft and/or review reports on behalf of the programme team as required, conducting field visits to collect information, photographs and/or case studies as required.
· Support the Grants and Information Manager (GIM) in ensuring that the reporting schedule is up-to-date and that programme teams are informed of the donor reporting requirements and that appropriate guidelines and templates are shared.
Programme Development:
· Support programme staff in the development of high-quality concept notes and proposals for emergency programmes.
· Conduct desk-based research in order to enable the provision of relevant, up-to-date contextual input in proposal development.
· Produce “in-house” programme briefs or case studies that demonstrate best practice in areas of Concern’s work and also address problems/constraints and critical issues.
· Participate in planning processes with the Grants and Information Manager and Programmes Director to support the identification of funding needs and opportunities for further funding.
Communications and Information Management:
· Liaise with programme teams to produce and disseminate emergency programme situation reports, documenting and sharing updates on achievements and challenges
· Support communications functions through the dissemination of news and relevant articles, and the development of programme briefs, presentations, etc.
· Support representation of Concern by attending cluster meetings, supporting cluster reporting, and liaising with clusters as required
· Act as a focal point for advice and information on a wide range of programme-related issues.
· Support the Grants and Information Manager in filing both hard and electronic copies of all documents, including versions of contracts, reports/proposals/etc. ‘as sent to donor’.
Monitoring and Evaluation:
· Support the monitoring and evaluation of all emergency programmes as required.
· Support capacity building of staff in M&E, data collection and reporting.
· Assist in surveys, studies and research conducted by the programmes.
· Ensure learning documentation is shared with relevant staff.
· Ensure soft and hard copies of tools, data, and reports are filed on the shared folder.
General:
· Maintain open communication and good working relations with all departments and act as a focal point for advice and information on a wide range of programme-related issues.
· Provide all necessary documentation support to the senior management team (SMT), including preparation for and recording of SMT meeting minutes.
· Contribute to development, review, and revisions of institutional and country programme strategies and policies, and assist SMT with research as requested and agreed.
· Any other tasks mutually agreed with the GIM, Programmes Director and /or CD.
Person Specification:
Essential:
Education, Qualifications & Experience:
· Education (diploma or above) in a relevant discipline, e.g.: Humanitarian Studies; Development Studies; International Politics; Conflict; or other relevant social science disciplines.
· Previous experience with an international/national non-governmental organisation.
Special Skills, Aptitude or Personality Requirements:
· Excellent English writing and communication skills with substantial previous experience of research, documentation and/or report writing.
· Excellent computer skills, including Microsoft Word, PowerPoint and Excel.
· Ability to work with a multi-national team in an isolated environment.
· Ability to work on own initiative and as part of a team.
· Ability to organise and prioritise workload, using initiative when appropriate.
· Ability to cope with stress and work under pressure.
· Self-motivated, progressive and proactive.
· Flexibility, adaptability, sense of humour, and patience.
Desirable:
· Knowledge of donors and their requirements (ECHO, EU, USAID/OFDA, Irish Aid, DfID).
· Knowledge of monitoring and evaluation processes.
