Greenland Oil & Gas Limited requires administrative assistant interested applicants to our annex plant. This position, under close supervision, performs a variety of administrative functions, including filing, scheduling appointments and answering/directing incoming calls. This position is responsible for the clerical support of multiple programs that are essential to the efficient function of the office/department. Essential Duties and Responsibilities:
• Research various projects and monitor programs.
• Answer phones and direct caller to the appropriate person.
• Composes memos, transcribes notes, and researches as well as creates presentations.
• May be responsible for scanning incoming mail and distributing to the appropriate personnel.
• May be responsible for maintaining office supplies/equipment.
• Responsible for scheduling appointments which may include travel and meeting arrangements.
• Maintains various forms of documentation in an easily retrievable and consistent filing system.
• May be responsible for accurately completing various types of documents required for the operation of the department.
• Ensures document filings/forms are submitted within the required timeframe.
• Assist other employees with office or departmental related questions or direct them to the appropriate personnel.
• Assist with maintaining employee timesheets/records, which may include preparing/submitting them to Human Resources.
• May be responsible for submitting invoices for payment to customers and/or Accounts Payable.
• Review, maintain, and input data for various reports/logs.
• Other duties may be assigned.
Minimum Requirements:
Education and/or Experience:
All advertised vacancies are classified under graduate level. Thus, applicants must be a college/university graduate with a minimum of High school diploma and 2+ years of related experience and/or training, or the equivalent combination of education and experience.
Computer Skills:
Must have computer experience with all Microsoft Office applications, databases, e-mail, and web-based applications
Other Skills, Abilities or preferred Qualifications:
• Must be skilled in analysis, problem solving, decision-making, planning, organizing, meeting deadlines, multi-tasking, attention to detail, and communication.
• Proficient with various types of office equipment.
Physical Demands:
While performing the duties of this job, the employee is frequently required to sit, stand; walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to climb or balance; stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
