Reports to: Senior Administrator


Uganda National Bureau of Standards (UNBS) is a statutory body under

the Ministry of Trade Industry and Cooperatives mandated to coordinate the

elaboration of standards and quality of products and services so as to

facilitate fair trade, promote local industries and protect consumers.


Job Summary: The Front Desk Officer will be responsible for

handling all front office reception whilst providing secretarial, clerical and

administrative support.


Key Duties and Responsibilities:

  • Cordially welcome visitors by greeting

    them, in person or over the telephone

  • Answer and or refer inquiries as

    appropriate.

  • Maintain employee and department

    directories.

  • Guide and direct visitors to Offices or

    Officers accordingly.

  • Maintain reception security by following

    and enforcing procedures.

  • Maintain and monitor the visitor’s book

    and issue visitor passes.

  • Maintain telecommunication system both

    internal and external and record staff external calls for accountability

    purposes.

  • Re-direct calls as appropriate and take

    messages when required.

  • Open and date stamp all general

    correspondences and route them to the right offices.

  • Offer timely secretarial support whenever

    required.

  • Maintain safe and clean reception area by

    complying with procedures, rules or regulations.

  • Receive record and route all employee

    applications on behalf of the Executive Director.

  • Supply information regarding the

    organisation to the general public, clients and customers


Qualifications, Skills and Experience:

  • The Front Desk Officer should hold an

    Honour’s Degree in Secretarial Studies, Arts in Arts, Hospitality or any

    other related qualification from a recognized University/Institution.

  • At least two years’ experience in a busy

    reception environment.

  • Be highly computer literate with skills in

    Microsoft Word, Excel and Internet applications.

  • Specialized training in Customer care is

    an added advantage.

  • Possess excellent verbal and written

    communication skills

  • Professional personal presentation

  • Customer service orientation

  • Stress tolerance

  • Possess excellent information management

    skills

  • Keen attention to detail and high degree

    of reliability

  • Respectful and culture sensitive


Age: Between 25 and 40 years.
