Our prayer for every Heart, the will to make it so.”Job Summary: The World Vision Logistics and Administration Manager will be responsible for the management of Administration and Logistics functions where the duties will include keeping inventory of vehicles and managing of repairs, service and maintenance and supply of fleet accessories, budgeting and financial reporting, scheduling maintenance and rotation of vehicles, training of fleet management team and other staff and appropriate duties. In administration the responsibilities will include effective events management, managing expatriate/ international staff travel and accommodations, assets management among others. Provide support to the Support services Division team to enhance efficient & effectiveness for WVU ministry delivery.Key Duties and Responsibilities: 1. Planning and Strategic Role:Plan for WVU Administration and fleet to ensure cost effectiveness and reliability of WVU fleet.Implement and maintain administration and fleet management policies, systems and procedures.Maintain WVU fleet disposal schedule and initiate disposal processes according to world Vision policies.Works closely with the Programme Manager Operations to plan for the order, receipt, storage and distribution of Goods In Kind (GIK).Actively participate in budgeting process for the department.Strengthen Standardization and enforcement of fleet management procedures, guidelines and processes and implement a life-cycle management system as per program mobility projectAnalyze and disseminate information from fleet management system for management decisionEnsure that all organizations motor vehicles and motorcycles are properly insured in accordance with the set policies.Actively promote and spearhead safety driving /riding of motorcycles and motor vehicles in the organization.Oversight of the disposal process of the WVU Vehicles and motorcycles in accordance with the WVU disposal policy.Management of fleet and logistics related contracts for goods and servicesAnalyze vehicle status and cost upkeep, provide recommendations on vehicle disposal and replacement.Support the implementation of the security management plan for the country program through providing adequate transport planning and support.Manage the administrative functions of the organisation on day to day basisEnsures effective management of the office security in liaison with the security department.Maintain a system of asset management in line with World Vision guidelines.Ensures effective management of office premises and good facility managementEnsure that effective and efficient events management and logistics are delivered to staffManage the administrative logistics of expatriate and international staffMonitor the contracts in the administration department to achieve value for money.Ensure effective performance management processes according to WVU policies are implementedManage, supervise, coach and mentor staff and build a team to achieve resultsProvide and strengthen support to Administration, fleet, logistics and GIK staff to perform and accomplishment tasks and career advancement.Identify and encourage/recommend staff to undertake skills and capacity enhancement programs and provides coaching for performance.Offer technical oversight responsibility to other administration and logistics functions within the field officesIntuitively review procedures and guidelines for Warehouse within the organisationOffer guidance on general management of fleet, transportation and distribution.Review of the logistics guidelines share with staff accordinglyBoost and coordinate drivers defensive driving training and riders motorcycle skills development for all World Vision to ensure drivers/riders safety on the road.Work with safety and compliance officer in ensuring that WV security is in compliance with the Core Security Requirements (CSR).Qualifications, Skills and Experience: The candidate should preferably hold a University Degree in Business Administration/Logistics or an equivalent.Additional qualification in logistics management or Administration is a necessaryProfessional qualification of CIPS or CILT or an equivalent in Administration.At least three years managerial experience in Administration, Logistics and Fleet ManagementPossess a valid driving permit with at least five years driving experience.Excellent analytical and report writing skills.High level of integrity and stewardshipCommitted to the World Vision values and ethicsAll suitably qualified candidates are encouraged to apply online by visiting World Vision International’s e-recruitment jobs portal at the web link below.”NB: Please follow instructions on How to Create Account and Profile at World Vision’s e-recruitment portal.
