Organisation: International Organization for Migration (IOM)Reports to: Senior Operations Assistant/ TeamleaderThe International Organization for Migration (IOM), established in 1951, is the leading international intergovernmental organization dealing with migration. Its objective is to ensure the orderly migration of persons in need of migration assistance throughout the world. IOM Uganda has been registered and operational since 1988, when the field mission was established. Throughout the past 20 years, IOM Uganda has processed movements and facilitated information gathering and support towards refugees, internally displaced persons, demobilized child soldiers, trafficked women and other migrants and their specific needs, both on individual and large scale population movement. In addition to operational matters and research, IOM has an important role in enhancing and building national capacity in migration management.Job Summary: The Operations Clerk will primarily conduct clerical and administrative tasks related to movements and support of airport operations.Key Duties and Responsibilities: Contacts the migrants to ensure they are notified of their travel detailsArranges for USRAP promissory notes to be signed prior to departure.Arranges for the transport of cases traveling to or from camps to Kampala in preparation for international departure: assist in preparation of travel documents, manifests, bus tickets, cash requests.Works in liaison with MHD to ensure follow up medical procedures are completed before cases depart or return to the camps.Supports the distribution of shoes/clothing at the Naguru guest house for individuals in need traveling to the US, Australia, Canada, and other countries as required.Prepares luggage tags for departing refugees and migrants.Assist in payment requests for operations department regarding procurement, bus transport of refugees, other daily needs for the departmentAttend to migrant walk in clients, by checking on their case status in MiMOSA and referring them for further processing.Maintain clear and accurate inventory system of visas and travel documents received.Assist in organization of cultural orientation sessions for USCO, Canadian orientation abroad classes, Netherlands and Norwegian Cultural Orientation by calling up participants; arranging for the venue; distributing the transportation reimbursement; being a focal point; handling payments and contracts for interpreters/child minders contracted during the CO sessions.Perform any other duties that may be assignedQualifications, Skills and Experience:The Operations Clerk for the IOM Mission should possess a Diploma in Travel and Transport preferred.At least three or more years’ resettlement/movement or airline experience.A minimum of three years working experience with agencies involved in movements: RSC, UNHCR, airport authorities etc.Strong communication, negotiation and problem solving skills.Possess the ability to work efficiently under pressure.Willing to accept flexible work schedule.Required IOM functional competencies: effective communicator, successful negotiator, creative and analytical thinker, active learner, team player, and cross cultural facilitator.Computer literacy skills i.e. Proficient in Microsoft Office.Proficiency in Spoken and written EnglishKnowledge of Kiswahili will be considered an advantageAccepts and gives constructive criticism Follows all relevant procedures, processes, and policies Meets deadline, cost, and quality requirements for outputs Monitors own work to correct errorsTakes responsibility for meeting commitments and for any shortcomingsIdentifies the immediate and peripheral clients of own work Establishes and maintains effective working relationships with clients Identifies and monitors changes in the needs of clients, including donors, governments, and project beneficiariesContributes to colleagues' learning Demonstrates interest in improving relevant skills Demonstrates interest in acquiring skills relevant to other functional areas Keeps abreast of developments in own professional areaActively shares relevant information Clearly communicates, and listens to feedback on, changing priorities and procedures Writes clearly and effectively, adjusting wording to the intended audience Listens effectively and communicates clearly, adapting delivery to the audience5.
