The Elizabeth
Glaser Pediatric AIDS Foundation (EGPAF) seeks to end pediatric HIV/AIDS
through research, advocacy, and prevention and treatment programs. We are a
global leader in the fight against pediatric HIV and AIDS, working in 15 countries
and at 7,000 sites around the world to prevent the transmission of HIV to
children, and to help those already infected. Today, because of the highly
successful work of the Foundation and its partners over the last 25 years,
pediatric AIDS has been virtually eliminated in the United States and new
infections in children have declined by 58% worldwide. EGPAF Uganda Country
program is currently implementing a number of projects in partnership with
various donors.
About USAID RHITES Project:
The Elizabeth Glaser
Pediatric AIDS Foundation (EGPAF) implements the USAID Regional Health
Integration to Enhance Health Services in the South West Uganda Project
(RHITES) whose aim is to increase the availability, accessibility and quality
of integrated health services including HIV and TB prevention, care and
treatment; maternal, neonatal and child health services; family planning;
nutrition assessment, counseling support; malaria prevention and treatment and
other primary carer services.
Job Summary: The Receptionist
will be responsible for welcoming guests, answering and transferring telephone
calls and monitors access to the office by guests to ensure safety and
security.
Key Duties and Responsibilities:
1.
Front Desk Administration – Reception:
·
Provides appropriate information about the
Foundation and acts as a key primary contact for all inquiries
·
Provides appropriate welcome and support to EGPAF
visitors.
·
Answers telephone calls and transfers calls to the
appropriate person.
·
Keeps the reception area clean and tidy.
·
Maintains a library of appropriate literature for
guests use at the reception
·
The job holder also deputizes the Office
Administrator when need arises.
·
Takes daily delivery of newspapers and distributes
them to the designated officer/recipient
·
Works closely with the drivers in charge of the
mailing function and administrate the weekly courier. Receives and distributes
mail accordingly.
·
Distributes the newsletters/brochures – within
Uganda as necessary.
·
Acknowledges receipt of all incoming mails,
registers the same and channels to responsible official for action
3.
Secretarial Duties: Takes minutes/putting together report on staff
meetings, and circulate final copy to all staff, filing copies for reference.
·
Manages the use and maintenance of the office
equipment including the photocopier, binding machine to ensure that they are in
working order and arrange with the Senior Office Administrator for their repair
and maintenance
·
Manages and monitors utilisation of printing paper
by staff.
5.
Finance/Administration:
·
Support finance in managing office Petty cash.
·
Manages all hotel reservations for EGPAF staff local
travel.
·
Performs any other duties as assigned.
Qualifications, Skills and
Experience:
·
Applicants with prior administrative experience in a
similar position will have an added advantage
·
Good typing and basic computer skills.
·
Ability to speak languages relevant to the country.
·
Excellent interpersonal and communication skills.
