Hospice Africa
Uganda (HAU) is a national non-profit organization that has promoted modern
methods of pain and symptom control well as “whole-person” (holistic) care for
patients living with Cancer and HIV/AIDS. HAU strives to uphold excellent clinical
standards and provide quality education courses and advocacy activities to
promote the spread of palliative care throughout Uganda and Africa.
Job Summary: The Human
Resource and Administrative Coordinator will offer Human Resources related and
Administrative support to the site; communicating information to staff;
ensuring compliance with financial and administrative requirements; and supporting
the broad array of services provided to patients and support staff.
Key Duties and Responsibilities:
·
In charge of planning and implementation of new
employee induction schedule;
·
Ensure all staff have valid contracts fully signed
on file, and that those still outstanding are returned for records;
·
Follow up all un-renewed or pending contracts and
have them renewed on time in consultation with the Site Manager and Head HR
& Administration at head office;
·
Make a regular file audit to establish all missing
files and documents and have them filed; Ensure safe custody of the HR files,
and a systematic and efficient filing system;
·
Maintain an updated staff leave database for staff,
regularly update staff leave records and produce a monthly report on leave
usage;
·
Maintain an up-to-date attendance tracking database
and compile monthly reports for .site manager’s review prior to submission to
HR & Admin Director at head office;
·
Ensure timely update and dissemination of HR/Admin
policies and forms to staff;
·
Ensure HR urgent matters are handled properly and
communicated to relevant offices in time.
2.
Administrative Functions:
·
Prepare requests, budgets and accountabilities;
·
Set up and maintain the admin filing system for
official records;
·
Spearhead coordination of monthly team meeting and
recording of minutes
·
Support in compilation of procurement related items
for the site;
·
Mentor and train the receptionist and support staff;
·
Ensure proper storage, tracking and inventory system
of the department supplies and material assets; maintain proper stock take and
records for items in the store and produce monthly status report.
3.
Petty Cash Management:
·
Maintain the cash counts at the site;
·
Prepare bi-monthly manual payment run and staff
expenses payment run ensuring invoices authorizations adhere to HAU authority
schedule;
·
Records management of finance related documents.
4.
Supervisory functions:
·
Responsible for the overall of site maintenance and
repairs;
·
Provide support supervision to general assistants,
drivers, guards and the caterer.
Qualifications, Skills and
Experience:
·
The applicant should preferably hold a Degree in
Human Resources Management, Business Administration, Social Sciences or related
discipline.
·
A minimum of two years’ experience in Human Resource
and Administration, in a recognized health institution with a focus on HIV/AIDS
and or Cancer.
·
Customer and patient care skills
·
Good record keeping and management skills
·
Good financial and accounting skills;
·
Computer application skills;
·
Excellent interpersonal and communication skills.
